Before you brief us.

Short answers, in plain words. If yours is not here, send it with the brief.

What is XSEDES?

XSEDES is an experiential multimedia technology and engineering company. It designs, builds and operates intelligent physical environments and technology-driven experiences for brands, agencies, venues and institutions, taking an idea from concept to operation with one team. Because the same people do the creative and the technical work, what is designed is what gets built and run.

Are you an event management company?

No. XSEDES is an experiential technology company. We design, build and operate the technology and environments inside experiences, alongside the agencies and organisers who run the event. We do not plan or produce the event itself: the programme, the schedule and the guests stay with the organiser. We make the technology work and keep it working.

Will you compete with my agency for the client?

No. We are partner-first. We make an agency's concept work and never compete for its client. The agency keeps the client relationship and the creative credit. We do not pitch to its client, approach them separately or present the work as ours. Our job is to make the idea buildable, reliable and operable.

What does "operate" mean?

Operate means running the technology, systems and experiences we deliver for their whole run, maintained by real people, with a named responder when something fails. It also covers monitoring, maintenance and training, so the experience is looked after and not left to chance.

Can you take on a concept that already exists?

Yes. Bring the idea at any stage. We pick it up wherever it is in the flow and carry it through to a working experience. A concept that already exists is reviewed first against the venue, the audience and what can be built. We say what works as it stands and what needs to change.

What are the ten divisions?

X-CONSULT, X-STUDIO, X-LAB, X-IMMERSIVE, X-PLAY, X-LIVE, X-BUILD, X-CONNECT, X-AI and X-INTELLIGENCE. Between them they cover experience strategy, creative design, creative technology, immersive environments, interactive experiences, live shows, fabrication, event technology, artificial intelligence and experience data. Each works with the others as one team.

How does a project start?

With a brief. It can be a short note or a full document, a finished concept or an open question. We read it, ask what is missing and agree the next step. Discovery then confirms the audience, the venue, the objectives and the constraints, so design starts from facts rather than assumptions.

What are the seven stages?

Discover, design, engineer, fabricate, integrate, commission and operate. Discover sets the brief and constraints. Design shapes the concept and the systems. Engineer and fabricate make the parts. Integrate joins hardware, software and content. Commission tests it in place at full size. Operate keeps it running. One team stays through all seven.

How long does a project take?

It depends on the scope. A single installation and a venue-wide programme are different projects, and the timetable follows the work. The seven stages tell you where a project is at any time, and each ends with something you can review, so progress is visible and is never a guess.

Who owns the intellectual property?

As agreed in the contract. The concept stays with its author, so an agency's or a brand's idea remains theirs. Anything made specially for a project, and anything XSEDES brings to it, is dealt with in the agreement. The position is set out before work begins, so nobody discovers it at handover.

How does commissioning work?

Commissioning is testing in place, at full size, before opening. Every output is judged at its real size and in its real light, in the actual venue. We run the experience end to end, including the failure cases. We fix what does not hold. The client signs off what they have seen working, not what was promised.

What happens if something fails during the run?

A named responder acts. Before opening we agree what each fault looks like, who responds and how quickly the client is told. Systems are monitored, so faults are seen early. Where a fault cannot be fixed at once, the experience falls back to a planned safe state and the cause is found afterwards.

Can XSEDES work with our existing AV supplier or venue team?

Yes. Existing suppliers and venue teams know the building, and their work is part of the experience. We agree interfaces and responsibilities in writing, build around what is in place and say plainly where a change would help. Each party knows what it owns, so the system works as one on the day.

What does "experiential technology" mean?

Experiential technology is technology whose purpose is an experience in a physical place: projection, LED, sensors, interactive systems, show control and AI that people meet in the room. It is judged by what visitors feel and do, and by whether it keeps working. The technology serves the experience. The experience is not a showcase for the technology.

What does XSEDES need to prepare a quote?

A brief, the venue, the dates, the audience and a budget range. The brief says what the experience should achieve. The venue and dates set the constraints. The audience shapes the design. A budget range lets us propose what is realistic. Where any of these is unknown, we help establish it in discovery.
