How we work

From concept to operation.

Most experiences break between the idea and the room. Strategy, design, technology, fabrication and operation usually sit with different suppliers, and every handoff is a place the idea can be lost. XSEDES keeps one team on the work from the first brief to the last day of the run.

The principle

The team that designs an experience builds it. The team that builds it runs it.

Engineering serves the idea. It is never the department that says no. Every output is judged at its real size, place and light, and we say what happens when something fails and who responds.

Seven stages

One team throughout.

Bring the idea at any stage. We pick it up wherever it is and carry it through.

Stage
  1. 01 / 07

    Discover

    Brief, audience, site, constraints.

Discover is where the brief becomes clear. We work with the client to establish the audience, the objectives, the site and the constraints, and we survey the venue where there is one. At the end, the client receives a written brief that records what success looks like, what is fixed and what is still open.

    Design

Concept, experience, spatial and systems design.

Design shapes the idea into something that can be built. Concept, experience, spatial and systems design are developed together, with engineers and fabricators in the room. Ideas are tested against the site as they form. At the end, the client receives design documents to approve: the concept, plans, interaction flows, system diagrams and media direction.

  3. 03 / 07

    Engineer

Mechanical, electronic, software and media systems.

Engineer turns the design into specified, buildable systems. Mechanical, electronic, software and media systems are drawn, calculated and selected, with power, load, cable routes, safety and maintenance in view. At the end, the client receives engineering drawings, specifications, a systems architecture and a list of risks with the controls for each.

  4. 04 / 07

    Fabricate

    Structures, surfaces, housings and mounts.

Fabricate makes the physical parts: structures, surfaces, housings and mounts. Production follows the engineering drawings, and mock-ups and samples are reviewed before final pieces are made. Elements are checked before they leave production. At the end, the client receives finished physical elements, ready for installation and integration, with as-built drawings.

    Integrate

Hardware, software and content as one system.

Integrate joins hardware, software and content as one system. Displays, sensors, controllers, networks and media are connected, configured and tested together, first off site where possible and then in place. At the end, the client receives a working system, the configuration records and the documentation needed to commission and operate it.

    Commission

Tested in place, at full size, before opening.

Commission tests the experience in place, at full size, before opening. Every output is judged at its real size and light, and the whole run is rehearsed, including the failure cases. The people who will operate it are trained. At the end, the client receives a signed-off experience, a commissioning record and a clear statement of who responds to what.

    Operate

    Monitoring, maintenance, training and support.

Operate keeps the experience working for its whole run. Systems are monitored, maintained and supported by named people, and the client’s own team is trained to work alongside them. At the end of each period of operation, the client receives a report on how the experience performed, what was fixed and what should change.

Operate

Working beats wow.

The measure of an experience is that it works for its whole run. Operation means running the technology, systems and experiences we deliver, maintained by real people, with a named responder when something fails. We plan for day one hundred, not only opening night.
